When you visit our website we collect certain information. This policy describes how and what date we collect and how we keep your data secure:

Personal data is and data about you personally, for example your name and address. We may collect personal data about you via:

  • Details of your visits to our website including, but not limited to, traffic data, location data, weblogs and other communication data

 Legal grounds for processing

Data protection law requires us to only process your personal data if we satisfy one or more legal grounds, such as gaining your consent or if it is necessary for the performance of a contract.

In order to comply with the General Data Protection Regulation, we will inform you whether you are required to provide certain information to us or if you have a choice in this.

The Early Years Foundation Stage (Welfare Requirements) Regulations 2012 place a legal obligation upon us to collect and process certain information. In these circumstances we do not require your consent to collect your information to us or if you have a choice in this.

When your child is offered a place at Coconut we ask you for personal data about you and your child in order to deliver the childcare service to you. We must have a legal basis for collecting this data, and there are six lawful bases:

 (a) Consent

 (b) Contract

 (c) Legal obligation

 (d) Vital interests

 (e) Public task

 (f) Legitimate interests

We will be processing your data under all six of these bases.

Where we require consent we will provide a way for you to positively make a decision about the information that you make available and how this is shared. You can withdraw this consent at any time, but must be aware that this could lead to you having to take your child out of nursery as the EYFS dictates we must know certain personal information about the children in order to have them enrolled.

This information will be collected by Katie Thompson as part of your child’s induction to the setting. We will be asking for this data verbally at our initial meeting and recording it on paper forms as well as digitally on the Famly app. It is down to you to update this information when appropriate and make sure we have the most up to date information on your child at all times.

The information that we require will include:

  • Child’s name
  • Child’s date of birth
  • Child’s age
  • Child’s address
  • Parents’ work addresses and contact numbers
  • Parents’ names, addresses, contact numbers
  • Who has parental responsibility for the child
  • Emergency contact names, addresses and contact numbers
  • Child’s doctor’s name and contact number
  • Any allergies/medical history/ requirements
  • Information about immunisations
  • Whether the child has any special educational needs or disabilities
  • Ethnic group
  • Religion
  • Home language

We are required to hold and use this personal data in order to comply with the statutory framework of England, Ofsted, the Department for Education and the early years team at the Hackney Learning Trust. This data will be used to: 

  • Support your child’s development
  • Monitor and report on your child’s progress
  • Share information about activities in our setting
  • Contact named people in an emergency
  • Share with other professionals in accordance with legislation
  • Ensure a contract of service is delivered and maintained
  • Ensure that this setting receives the statutory funding for which it is eligible.

With your permission this data may be, when necessary, shared with:

  • Other professionals supporting your child, for example health visitor, speech and language therapist, other health or education professional
  • The Hackney Learning Trust through the Free Childcare and Early Education Entitlement headcount and annual Early Years Census (England)
  • The local safeguarding children’s board or Social Services Referral and Assessment Team if I ever have any concerns about the safety of your child.
  • Ofsted

If you want to see a copy of the information we hold and share about you or your child then please contact Katie Thompson. Please bear in mind that we cannot share 3rd party information with you.

We are required by law to keep some information about your child for a period of time after a child has left the setting. Please see out GDPR policy for details on how long certain information is kept for and for further information on data sharing, safe storage and your rights to access your data.
